Job Description:

The Justice Education Society of BC (JES) is a non–profit organization with over 25 years of experience providing public legal education and justice system capacity building in Canada and overseas. In Canada, the Society helps more than 700,000 British Columbians learn about our justice system and address their legal issues. Internationally, JES has programs in Guatemala, El Salvador, Honduras, Panama and Guyana which work with national institutions to strengthen justice systems, access to justice and citizen security. JES has offices in Guatemala, Honduras and Guyana and has diverse sources of funding including private donors and provincial, federal and overseas governments. Role
The Business Manager will be based in JES’ Guatemala Office in Guatemala City and will work closely with the Guatemala Office Team, the JES International Project Teams and the Canadian Head Office Management and Finance Teams. He or she will provide accounting oversight for the Guatemala accounts, manage the Guatemala Office and Administrative Team staff and ensure Guatemalan fiscal, legal and reporting requirements are met.
Duties
JES is undergoing a period of growth which requires a more strategic approach to Business and Financial management. The primary duties of the Business Manager will be to provide accountability over Guatemala finances and maintain office efficiency by implementing effective office systems and managing the Administration Team;
• Provide oversight of the Guatemala Accounts
• Manage, train and support the Guatemala Bookkeeper
• Responsible for Guatemala tax filings
• Responsible for Guatemala Audit
• Support JES International and Project Donor Audits
• Provide oversight on Guatemala payroll, including accruals and payments of aguilnaldo, indemnizacion and other country specific labour regulations.
• Support Operations Manager with cash flow management for Guatemala Office.
• Manage Guatemala Petty Cash.
• Perform Guatemala Bank Reconciliations.
• Manage records and paperwork for Guatemalan bank accounts.
• Support JES Financial Year End Audit Process.
• File annual paperwork for Guatemalan Registration.
• Manage Human Resources related to the Administration Team, including recruitment and performance management and review process.
• Manage Guatemala Office Human Resources files.
• Line Manage Administration Team staff including timesheets.
• Register Guatemala contracts as per Guatemalan law.
• Maintain JES Vehicle Log, manage JES vehicles including oversight on maintenance, insurance and vehicle registrations and travel permits for crossing El Salvador and Honduran borders.
• Manage Guatemala Office space, including leases, supplier contracts, phone contracts and equipment inventories.
• Act as a Legal Representative for JES International in Guatemala.
• Archive, update and manage legal paperwork for Guatemala Office.
• Liaise with other JES management and participate in JES management activities relating to financial administration, system improvements, policy and procedure development and implementation, and financial planning.
Education
• University Degree or equivalent experience in Business Management.
• Professional qualification in Accounting (Colegio de Contadores Publicos y Auditores de Guatemala)

Experience, knowledge and skills
Essential
• 3 - 6 years of progressive Accounting and Business Management experience.
• Excellent knowledge of all applicable Guatemalan legislation, government policies, procedures, and practices.
• Experience managing staff and coordinating a team.
• Ability to communicate effectively with a diverse team.
• Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
• Proven ability to prioritize and manage multiple tasks, work with a minimum of supervision within tight time lines.
• Good knowledge of, and demonstrated ability to work with, current electronic technology and various software packages including Microsoft Word and Excel, Google Docs, Dropbox, spreadsheets and data base management.
Preferred
• Experience within the not-for-profit sector.
• Fluency in English
